BOFBack Office Foreman
How it works

We set it up. You approve everything.

Back Office Foreman is a done-for-you service. There is no new software for you to learn. We build the workflows inside your own accounts and hand them over with written rules.

Book the Ops Audit

A 60 to 90 minute walkthrough of your inbox, books, Drive, and bid flow. You come away with a written map of the top 3 workflows to automate and an approval-rule sheet. The $1,500 fee is credited toward your build.

About 60 to 90 minutes, plus your written map.

Choose your package

Start with Foreman Starter (three workflows) or go straight to Full Back Office (all six). You pick the workflows and you set the rules.

Setup fee plus monthly care. See Packages and pricing.

We set it up in your accounts

We connect to the tools you already use, starting with read-only access. You log in and grant access yourself. Every account and file stays in your name.

Live in weeks, not months.

30 days of tuning

We adjust labels, folders, and drafts until the workflows fit how you actually work.

Included with every build.

Monthly Care

We keep things running, fix what breaks, and adjust as your jobs, properties, and lenders change.

Ongoing monthly retainer.

The playbook: six workflows

Each one is set up in your own tools, with before and after in plain terms.

Workflow 1

Inbox cleanup and triage

Sort, label, and summarize the owner's inbox. Draft replies for approval. Nothing goes out without a yes.

BeforeHundreds of unread emails, bids and invoices buried under newsletters.
AfterA labeled inbox, a short summary, and reply drafts waiting for your yes.
Workflow 2

Bookkeeping organization

Invoice and receipt tracking into a job cost sheet, plus vendor and bill lists ready for the bookkeeper.

BeforeReceipts in trucks, texts, and email. Job costs pieced together at tax time.
AfterEvery receipt logged to the right job, with a clean list your bookkeeper can use.
Workflow 3

Bid invite triage

Pull bid invites from email and portals, log due dates, scope, and fit, and flag go or no-go candidates.

BeforeBid invites piling up across email and portals, due dates missed.
AfterOne bid log with due dates, scope, and a go or no-go flag for each invite.
Workflow 4

Lender packs

Assemble draw requests, rent rolls, insurance, entity docs, and tax returns into a lender-ready package for refis, DSCR loans, and construction draws.

BeforeRebuilding the same lender package from scratch every time.
AfterA lender-ready package assembled from your files, ready for you to review and send.
Workflow 5

Google Drive filing

One folder system per property or job, with automatic filing of contracts, COIs, lien waivers, permits, and closing docs.

BeforeContracts, COIs, and lien waivers scattered across downloads and inboxes.
AfterOne folder per property or job, with documents filed where they belong.
Workflow 6

Daily morning brief

One email each morning: calendar, deadlines, money in and out, open approvals, and weather for jobsites.

BeforeStarting the day hunting through apps to see what is due.
AfterOne email before you head out, with everything that needs you today.

Security and approval rules

This is the selling point. Read-only first, written approval rules, no credentials in chat, you own every account and file, and a human approves every outgoing message or payment.

Read-only firstWe start with view access only, then widen it step by step with your OK.
Written approval rulesYou decide in writing what can happen on its own and what waits for you.
No credentials in chatYou log in and grant access yourself. Passwords never get passed around.
You own everythingEvery account and every file stays in your name, in your tools.
A human approvesEvery outgoing message or payment waits for a person to say yes.

Common questions

Is this software I have to learn?

No. Back Office Foreman is a service. We set up the workflows in the tools you already use, then keep them running with Monthly Care.

Will anything get sent without me knowing?

No. Every outgoing email, payment, and filing waits for your approval. That rule is written down before we start.

Who owns the accounts and files?

You do. Everything is set up in your own accounts, and you can remove our access at any time.

What about tool costs?

Any third-party tools the workflows need are billed to your own card at cost. We use tools you already pay for wherever we can.

How fast can it be live?

Live in weeks, not months. The Ops Audit sets the plan, then setup and 30 days of tuning follow.

Start with a $1,500 Ops Audit.

A 60 to 90 minute walkthrough of your inbox, books, Drive, and bid flow, with a written map of your top 3 workflows. The full fee is credited toward your build.
